The NRG Needs a Treasurer

Our long time Treasurer Jeff Sillick has retired from his working life and plans to do a lot of traveling and has indicated he wishes to retire from the NRG Treasurer position he’s held since 2010.  Jeff has agreed to stick around for the remainder of the 2018-2019 fiscal year that ends on June 30, 2019.  We would like the new Treasurer to be on board prior to June 30, 2019 so they can work with Jeff during the transition and be able to assume the duties by July 1, 2019.

We are looking for an NRG member with accounting or other financial background that would qualify them to be our next Treasurer.

Treasurer’s Job Duties

The NRG Treasurer’s duties are many and can be broken down into three categories: routine, on-going duties; quarterly duties; and annual duties.  The duties for each of these three broad categories are detailed below.

Routine Treasurer Duties

The routine, on-going duties of the NRG Treasurer include the following:

  • Daily bank account (checking and savings) oversight  - This includes monitoring the accounts for activity in order to update the checkbook register; ensure sufficient balances exist in checking to cover automatic bill pay and to transfer funds as necessary; and to monitor for fraudulent activity.
  • Vendor Payments - Various obligations come due on a routine, predictable basis as well as one-off payments which need to be made on an as-needed basis.
  • Month-end Income and Expense Reconciliation – At the end of each month, the NRG Home Office provides an accounting of the income and expenses processed by the Home Office operations for the month.  These expenses and income need to be reconciled against account activity of the bank accounts, credit card processing account, and the NRG PayPal account.
  • PayPal Balance Transfers – Throughout the month, the PayPal account should be monitored.  As the balance accumulates, the funds in the account need to be transferred from PayPal to the NRG’s bank account.
  • Month-end Bank Account Reconciliation – At the end of each month as monthly checking and savings account statements become available, reconciliation is conducted between the statements and the checking and savings account register.

Quarterly Treasurer Duties

A number of quarterly duties occur which must be performed by the NRG Treasurer.  These activities include the following:

  • Quarterly Financial Reports - At the end of each quarter, the NRG Treasurer compiles the Statement of Activities report and the Statement of Financial Position report for distribution to the NRG Directors.
  • Attends Board Meetings – The NRG Treasurer is expected to attend all on-line, periodic board meetings and to contribute financial status and advice when applicable.

Annual Treasurer Duties

A variety of annual duties for the NRG Treasurer are outline below:

  • Budget Development – Each fiscal year during the fourth quarter, the Treasurer collaborates with the NRG Chair to develop a draft budget for the following fiscal year.  This draft budget is presented to the Board at the meeting preceding the start of the fiscal year for consideration and adjustment as necessary.  Once approved, this budget serves as the basis for financial operations for the new fiscal year.
  • Federal and State Tax Reporting – Each year in the February/March timeframe, the Treasurer must complete the Maryland Personal Property Return for the NRG.  In addition, following the close of the Fiscal year on June 30th of each year, the Treasurer must complete and file Federal form 990 for the Internal Revenue Service.  Finally, at the beginning of each calendar year (and prior to January 31st), the Treasurer must complete and distribute Federal forms 1096 to all applicable contractors of the NRG, which currently includes the NRG Office contractor, the NRG Journal Editor, and the NRG Journal Production Specialist.  Federal Form 1099 must be filed with the Internal Revenue Service simultaneously with the distribution of the forms 1096.
  • Annual Financial Report – At the close of each fiscal year, the Treasurer produces and distributes the Statement of Activities report and the Statement of Financial Position report for the fiscal year.  These reports are distributed to the NRG Directors for their information.  A summary report is also prepared and sent to the NRG Secretary for publication in the fall newsletter.
  • Annual Meeting Presentation – Each year at the Annual Members Meeting held in conjunction with the NRG’s annual conference, the treasurer presents a report to the membership about the financial position of the organization.
  • Annual Financial Audit – At the end of each fiscal year, the Treasurer compiles and prepares the completed fiscal years financial records for an internal audit to be conducted by one or more of the NRG Directors.
To be effective, the NRG Treasurer must have a computer, internet service, an email account, familiarity with common software like Microsoft Excel and Word, and an understanding of common financial processes and reporting.  The Treasurer should also have ready access to one or more large national banking chains such as Wells Fargo.
